{"id":341,"date":"2013-11-30T15:06:26","date_gmt":"2013-11-30T15:06:26","guid":{"rendered":"http:\/\/www.readingvts.org\/?page_id=341"},"modified":"2021-01-18T14:44:26","modified_gmt":"2021-01-18T14:44:26","slug":"before-the-trainee-arrives","status":"publish","type":"page","link":"https:\/\/gp-training.hee.nhs.uk\/reading\/trainers\/practicalities-and-admin\/before-the-trainee-arrives\/","title":{"rendered":"Before the Trainee arrives"},"content":{"rendered":"\n<h3 class=\"wp-block-heading\">Three Months before the trainee joins the practice:<\/h3>\n\n\n\n<p>The PDs regularly circulate spreadsheets showing trainee allocations to practices across ST1, 2 and 3 &#8211; so often you will know who is coming to you years in advance-and in the case of ST3s formed a relationship with them through acting as their ES through their ST1 and 2 training.\u00a0 However, due to maternities, sickness, exam failure and intra and inter-deanery transfers some changes are sometimes necessary.\u00a0 Except in exceptional circumstances, you should receive the name and contact details of your new trainee at least 3 months before they start with you.<\/p>\n\n\n\n<p>You or&nbsp;your practice manager should contact your new trainee and,&nbsp;ideally, arrange to meet them.&nbsp; You should advise them to&nbsp;bring with them&nbsp;the following information, as their employer&nbsp;the checking of these documents is your responsibility.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>GMC &#8211; licensure<\/strong>. Check certificate, check online\u00a0<a href=\"http:\/\/www.gmc-uk.org\/\">www.gmc-uk.org<\/a><\/li><li><strong>Medical defence<\/strong> \u2013 check membership is up-to-date and upgraded for GP work<\/li><li><strong>DBS check and application for the national performers&#8217; list<\/strong>.\u00a0 This is the responsibility of the trainee to arrange &#8211; though DBS will often need to be organised through the practice as with any other new employee. <a href=\"https:\/\/gp-training.hee.nhs.uk\/reading\/wp-content\/uploads\/sites\/74\/2013\/11\/Guidelines-for-Specialty-Trainees-Joining-the-Perfomers-List-July-2015-Version-1.0-1.pdf\" rel=\"\">Guidelines for Specialty Trainees Joining the Perfomers List July 2015 Version 1.0<\/a><\/li><li><strong>Driving licence<\/strong> \u2013 check (Must hold valid driving licence &amp; have use of a car)<\/li><li><strong>Residency\/ passport<\/strong><\/li><li><strong>Hepatitis B serology &#8211; <\/strong>an occupational health clearance is now part of application process for the NPL<\/li><li><strong>Residency\/ passport<\/strong><\/li><li><strong>Disability , special needs.\u00a0 Any reasonable adaptions required <a href=\"https:\/\/gp-training.hee.nhs.uk\/reading\/wp-content\/uploads\/sites\/74\/2013\/11\/Sample-letter-enquiring-re-disability-requirements.doc\" rel=\"\">Sample letter enquiring re disability requirements<\/a><\/strong><\/li><li><strong>P45 <\/strong>for calculation of salary<\/li><\/ul>\n\n\n\n<p>You should also arrange in advance any admin that may be necessary to work in your practice eg.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>ID cards<\/li><li>SMART cards<\/li><li>NHS email address<\/li><li>Keys\/door codes\/ Alarm codes<\/li><li>Access to webpath<\/li><li>Set up trainee email in-house to receive copies of relevant clinical emails<\/li><li>Passwords \u2013 Windows, GP gateway, Docman, EMIS or other, C&amp;B<\/li><li>Name plate<\/li><\/ul>\n\n\n\n<p>In terms of ensuring the practice itself is ready to receive them, in addition to discussion with staff to manage expectations,&nbsp;remember to check you have:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>A notice and\/or booklet\u00a0in reception\/ the waiting room to inform patients that you have a trainee <\/li><li><div>A fully equipped room ready for the trainee<\/div><\/li><li><div>A fully equipped doctor&#8217;s bag for the trainee<\/div><\/li><li>A video camera and facilites for playback (for consultation analysis) <\/li><\/ul>\n\n\n\n<p>You will also need to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>apply for your training grant<\/li><li>prepare an induction timetable for them examples may be found <a href=\"https:\/\/gp-training.hee.nhs.uk\/reading\/trainers\/the-trainee-in-gp\/\">here <\/a>and send this to your trainee<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">6 weeks before the Trainee Arrives at the Practice<\/h3>\n\n\n\n<p>Send the trainee a pack containing:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Their <strong>contract<\/strong>&#8211; ensure they sign and return it to you.\u00a0This will need to be adjusted for ST1\/2\/3.
